The process for scheduling both the Oral PhD Qualifying Exam and the
Final Defense is as follows:
- Coordinate with Committee Members
Students must first select a date and time that works for all
members of their entire supervisory committee. - Complete the Required Form
After confirming the date and time, students should fill out the
appropriate scheduling form and obtain their committee chair’s
signature. - Include Zoom Details (if applicable)
For hybrid or Zoom-format meetings, the Zoom link must be included
on the form. The committee chair should be assigned as a co-host in
Zoom. - Advance Notice Requirement
The exam or defense must be scheduled at least 10 business days
prior to the proposed date. - Submit to Graduate Secretary
Submit the completed form to the graduate secretary either via
email or in person. Students must also email the graduate secretary
with the title of their thesis or dissertation and, if applicable,
the Zoom meeting link. - Confirmation and Announcement
Upon receiving the form and details, the graduate secretary will
confirm the room reservation via email. The official announcement
will be sent out once all information is finalized.
